Invoice Document and Data Capture

Two key benefits of Transform AP are the ability to gain full visibility into the status of invoices in-process, and the facilitation of electronic coding, routing, approval and posting of invoice data directly into EnterpriseOne. Whether invoices are received at a central facility or across dispersed locations, getting these documents imaged and queued into Transform AP is essential.


Transform AP accepts digital images from any industry-standard scanner or multi-function device. The only requirement is that the device writes TIF or PDF images into a folder on the network visible by Transform AP. Alternatively, image files received via fax server can be written to the same folders and those sent as attachments via email can be automatically extracted. From here Transform AP begins processing the invoices.

 
 Invoice Document Capture

The baseline Transform AP application supports the following invoice types: PO-based Invoices, Non PO-based Invoices, Pre-authorized Invoices and Unknown Invoices. Transform AP can manage the capture of invoice documents as single transactions or batches, which can be burst (separated) by using a barcode label or a separator sheet. In addition, the barcode can be used to identify the invoice type and the start of a new invoice document. Transform AP includes the facility to create the barcode labels on standard label stock.

 
 
 Invoice Data Capture
Transform AP provides several methods to aid in the data capture of common invoice header data via OCR: Patterns (a.k.a. templates) and Regular Expressions (a.k.a. rules-based searches). The baseline Transform AP application is configured to utilize these methods to capture the following key header information:

• Invoice Number
• Invoice Date
• Total Invoice Amount
• PO Number

 
 Patterns

The creation of patterns is achieved using the Transform AP Pattern Wizard, a straightforward process that can frequently be done without the need to employ internal IT resources. Following a few simple steps and guidelines, a library of patterns can be created over time to facilitate the automated capture of invoice header data. This method, which is very efficient and returns a higher percentage of positive capture rates, is often utilized for high- volume or high-frequency vendors.
